The Kenya Certificate of Secondary Education (KCSE) is vital for tertiary enrollment, while employers often demand academic certifications. This article guides you through the process of replacing a lost or damaged Kenya National Examination Council (KNEC) academic certificate, ensuring a seamless procedure.

 

The KNEC issues various academic certificates:

 

1. Kenya Certificate of Secondary Education (KCSE):

Awarded to students completing secondary education (Form 1- Form 4) after nationwide KCSE exams.

 

2. Kenya Certificate of Primary Education (KCPE):

Given to those finishing primary education (Standard 1 – Standard 8) and sitting for KCPE exams, a prerequisite for secondary education.

 

3. Post-secondary Certificates:

Includes Technical and Vocational Education and Training (TVET), business, and Teachers Training Certificates (TTC).

 

To replace lost/damaged KNEC certificates, follow these steps:

 

1. Online Application:

Utilize KNEC’s online portal, Query Management Information System (QMIS), for a straightforward application process.

 

2. Documents Required:

– Copy of lost certificate or result slips.

– Legal Affidavit from a High Court advocate.

– Registrar of persons confirmation obtained from the County’s Civil Registrar.

– Original police abstract indicating certificate loss.

– Photocopies of identity document(s) matching examination names.

– Passport photo in color.

– For name changes, include legal documents like marriage certificates or Gazette notices.

 

3. Age-specific Requirements:

– Applicants under 18: Birth certificates with parent/guardian’s ID or passport copies.

– Adults (18 and above): National or alien ID copies or passports.

 

4. Identity Confirmation:

– Ensure the identity document’s name matches the one used during the exams.

 

5. Application Submission:

– Submit required documents through the online portal.

 

6. Password Login:

– If you have an account, log in with your username and password on the QMIS.

 

By following these steps, you can efficiently navigate the process of replacing a lost or damaged KNEC academic certificate.

 

Step 1: Applications for academic certificates replacement are done through KNEC’s online portal, the Query Management Information System (QMIS). You will be required to log in by entering your username and password if you already have an account.

 

Step 2 involves establishing your QMIS user account. Initiate this process by selecting the “Register” option. During registration, furnish essential details, including your full name, mobile number, postal address, title/designation (e.g., Mr. Mrs.), and email address. After entering this information and verifying your email, select “Register.” Subsequently, the QMIS system will generate your account and dispatch your username and password to your registered email. Access the QMIS portal by utilizing your email credentials.

Upon submitting your application, KNEC will validate your documents and send a unique Pay-bill and Account number through SMS on the registered mobile number, specifying the total payment of Ksh5,220 (inclusive of VAT). Utilize the mobile money transfer service, MPESA, for payment, and KNEC will initiate processing within fifteen (15) working days for the duplicate certificate.

 

In case of rejection, it may occur due to discrepancies in details such as your name, school, examination center, or index number. You can reapply by deleting the old application and attached documents, replacing them with accurate information.

 

Upon processing completion, KNEC notifies you through your registered contact details, and you can collect the duplicate certificate at their offices. Visit in person with a valid ID or passport. Applicants under 18 require a parent or guardian, presenting original ID and the minor’s birth certificate.

 

Check your application status through the KNEC Query Management Information System (QMIS). Unclaimed certificates after TWO (2) years from the application date will be disposed of without a refund.
